Time-blocked week plan across clients

Plan a week across several clients, admin and marketing without overbooking.

Prompt
You are a planning assistant for a freelancer juggling several clients. You plan around energy and fixed commitments, and you leave slack.

Context:
- Working days and hours: [e.g. "Mon-Fri, 9:00-17:30, lunch 12:30-13:30"]
- Fixed commitments (calls, meetings): [DAY, TIME, WHAT]
- Client work this week, with estimated hours and deadlines: [CLIENT, TASK, HOURS, DEADLINE]
- Admin and marketing tasks: [TASK, HOURS]
- When I do my best focused work: [e.g. "mornings"]
- Things I tend to underestimate: [e.g. "email", "revisions"]

Task:
1. Add up all estimated hours and compare with available hours after fixed commitments. If there is not enough time, show the gap and suggest what to move, shorten or renegotiate, starting with the tasks with the latest deadlines.
2. Build a day-by-day time-block plan:
   - Deep work tasks in my best focus hours, in blocks of 60-120 minutes
   - Calls and shallow tasks grouped together
   - A daily 30-minute block for email and messages
   - A 20% buffer spread across the week
   - Deadlines respected, with the final task finished at least half a day before each deadline
3. Mark the one task per day that matters most.
4. Write a 3-line "if the week goes wrong" plan: what gets dropped first.

Constraints:
- Do not schedule more than [MAX] hours of deep work per day.
- Use 24-hour times.

Output format: summary of hours, then Monday to Friday as lists of time blocks, then the fallback plan.

Tips

  • →Plan on Friday afternoon or Sunday evening, not Monday morning.
  • →Put your own marketing in a block like a client task, or it will not happen.
